POSITION: Volunteer Manager
HIRE DATES: July 21st – November 7th
WORK HOURS: Contract. 40 hrs/week. Monday – Friday, will require additional hours and weekends in the weeks leading up to and during the Festival and Conference. In-Person. No remote opportunities available. Local applicants are preferred.
REPORTS TO: Executive Director
COMPENSTATION: $625/week
ABOUT US: Austin Film Festival (AFF) furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film, television, theatre, and new media to tell a story. AFF is dedicated to providing unique cultural events and services, enhancing public awareness and participation and encouraging long lasting community partnerships. The Austin Film Festival is a not-for-profit 501c3 corporation.
JOB DESCRIPTION: Volunteer Manager will be responsible for recruiting, managing, motivating, engaging, and scheduling a large group of volunteers to support the staff and organization leading up to and during the Festival.
ENVIRONMENT: While working for this critically recognized organization, applicants are expected to be able to work efficiently and professionally in a fast-paced, team-oriented production environment. In such an environment, the ability to work well under pressure, excellent communication skills and intense organizational skills are a must.
RESPONSIBILITIES: The responsibilities of the Volunteer Manager include but are not limited to:
Volunteer Recruitment:
- Oversee volunteer recruiting needs
- Organize and manage a ‘Call for Volunteers’ campaign, brainstorming and executing marketing initiatives, and collaborating with other organizations to recruit volunteers
- Work with volunteers to create the best possible volunteer experience
- Organize and lead volunteer orientations
- Oversee volunteer schedules, ensure volunteers show up for their shifts, avoid gaps in department needs
- Review and approve total volunteer hours for earned rewards
Management:
- Manage the Volunteer Coordinator
- Work with departments to assess volunteer needs, build volunteer shift schedules
- Learn and maintain the volunteer database
- Assign volunteer schedules, solve problems by quickly relocating or recruiting new volunteers when openings arise due to volunteer issues
General:
- People-oriented, able to communicate clearly, professionally, and consistently with staff and a large volunteer base
- Provide exemplary customer service
- Provide weekly reports and attend weekly meetings
- Adhere to and complete a pre-determined timeline
- Create wrap up report and provide completion materials, including but not limited to updating of training materials
- Commitment to the AFF Mission Statement
QUALIFICATIONS:
- Bachelor’s Degree in relevant field
- Experience managing and effectively communicating to large groups of people
- Excellent oral and written communication skills, as well as interpersonal skills
- Extensive customer service experience
- Ability to work in databases and keep accurate records
- Ability to prioritize and delegate in high stress situations
- High common sense and good discretion; trustworthy and responsible communicator
- Outstanding organizational skills and attention to detail
- Must be able to handle high stress situations and multi-task
- Excellent time management, problem solving skills, and patience
- Must have a car
- Microsoft Office skills required
- Must be available during the Austin Film Festival, October 23rd – October 30th, 2025
