WORK HOURS: Contract. Monday – Friday, will require additional hours and weekends in the weeks leading up to and during the Festival and Conference. In-Person. No remote opportunities available. Local applicants are preferred.
ABOUT US: Austin Film Festival (AFF) furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film, television, theatre, and new media to tell a story. AFF is dedicated to providing unique cultural events and services, enhancing public awareness and participation and encouraging long lasting community partnerships. The Austin Film Festival is a not-for-profit 501c3 corporation.
JOB DESCRIPTION: This is a short-term, full-time, in-person contract position. We are seeking a highly organized and proactive individual to support the Film Department in executing administrative and logistical duties related to accepted films and filmmaker communication. The Film Department Assistant will play a key role in managing information flow, organizing materials, and supporting filmmaker services. The ideal candidate thrives in a fast-paced environment, can juggle multiple responsibilities, and works well both independently and as part of a team.
ENVIRONMENT: While working for this critically recognized organization, applicants are expected to be able to work efficiently and professionally in a fast-paced, team-oriented production environment. In such an environment, the ability to work well under pressure, excellent communication skills and intense organizational skills are a must.
RESPONSIBILITIES:
Pre-Festival:
Generate filmmaker itineraries using internal tracking systems and programmer-provided details
Assist with filmmaker ticketing and fulfillment
Support the Production Manager in updating and maintaining the Film Asset Tracker and coordinating missing items with Programmers
Help organize and verify Program Book and Pocket Guide materials (e.g., loglines, film stills, credits) with guidance from the Film Department lead
Compile and audit Film Department Comp Lists
Manage Sched entries with support from the Film Marketing Coordinator
Assist in the creation and organization of venue materials including moderator schedules, run-of-show documents, and theater scripts
During the Festival:
Serve as a point of contact at the Filmmaker Registration table, providing on-site customer service
Assist with filmmaker-facing logistics at venues, including support for line policies and distribution of promotional materials
Provide support to the Audience Award Coordinator with ballot tracking and updates
Coordinate Film Department team schedules and internal communications
Ensure Film Department staff have necessary materials, including contact sheets and programming trackers
QUALIFICATIONS:
Experience in festival operations, film programming, or event logistics preferred
Strong organizational and communication skills
Ability to manage multiple priorities with accuracy and efficiency
Comfortable with customer service and in-person interaction
Must be available for in-person work in Austin, TX [Insert applicable dates]
Detail-oriented with a proactive and collaborative approach
Strong written and verbal communication
Proficient in Google Suite; experience with Sched, Airtable, or similar tools a plus
