Deloitte University is Deloitte’s national learning campus in Westlake, Texas, where employees and clients attend informational and learning programs. The Deloitte University Production team produces live events for programs, using cutting-edge audio, video, and lighting technologies to deliver memorable, impactful experiences for all attendees. The Production Coordinator is a critical member of the production team, responsible for coordinating and managing each event. This role is also responsible for day-to-day scheduling and hiring of production personnel, coordinating and orchestrating daily room setups, and developing documentation to keep all teams on track for seamless production execution at Deloitte University.
Work you’ll do/Responsibilities
- Communicate with producers to define crew and equipment requirements for all programs, and capture requirements in production management resource-tracking systems.
- Maintain the team production bible, including freelance crew, rental houses, and other service and support companies.
- Fulfill production event crew requirements using staff and freelance personnel; develop and distribute daily crew assignment call sheets.
- Coordinate with the Executive Producer to assign producers to programs; create and maintain schedules, and manage updates to house scheduling systems.
- Communicate and coordinate with producers to define the scope of additional production needs. Research sources and solicit vendor quotes to fulfill scope requirements and support the client approval process.
- Manage logistics for vendors, including load-in, set up, and on-site coordination. Work closely with Deloitte University partners and producers to ensure streamlined program delivery.
- Work in close collaboration with Production, Technology, Banquet Management, and Meeting Event Services to ensure seamless event flow and timely resolution of issues.

Qualifications
- 2–4 years of event-based production management or production coordination experience.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
- Strong communicator and team collaborator; able to give and receive direction effectively.
- Proficient in calendar systems and in tracking large sets of resource requirements.
- Associate’s or bachelor’s degree preferred in audio/visual production, media technology, communications, or a related field; or equivalent experience.
- Relevant professional experience may be considered in lieu of a degree.
- Limited immigration sponsorship may be available
- Ability to travel 10%, on average, based on the work you do and the clients and industries/sectors you serve
Preferred
- Analytical ability to manage multiple projects and prioritize tasks into manageable work products
- Can operate independently or with minimum supervision
- Excellent written and communication skills
